Eclipse Magic Weekend
Presented By Stone Circle Council

April 6-9, 2024, Grand Valley, PA


Join Stone Circle Council for a weekend celebrating the Astronomy, Astrology, Anthropology and Alchemy of the Solar Eclipse. 

Registrants will be able to join us for a series of 3 pre-event webinars. The series will include education, event-planning, and social opportunities.

Registration includes:

- Indoor, Heated, Sleeping Space
- Comfortable Beds with linens
- Shared Bathrooms with towels
- Food and Beverages for the Entire Weekend
- Classes, Workshops, Rituals
- 2 full minutes of Totality
- Paper, Eclipse Viewing Glasses
- 40 outdoor acres including a pond, and fire-pit to explore and enjoy

Monday, April 8th is Eclipse Day!

The day will feature:
- morning educational workshops about alchemy and astrology
- Lunch with the NASA feed
- A group ritual at the beginning and end of partial eclipse. 
- Post-Eclipse Toast
- The Eclipse Moon Gala featuring food, drinks and dancing in the atrium. 

To wrap up the magic of our weekend, registrants will be invited to a series of 2 post-event webinars facilitated by Lilian Arrington to help transition back into the mundane world and connect about the transformative magic after the event. 

Meals are included in registration and will start with a Cheerful Hour of appetizers, tea and lemonade at 5:30pm on Saturday April 6. 

The volunteer kitchen will work to craft 3 meals a day, snacks and beverages throughout the weekend. Our lead volunteer, James Gille, has complied a spectacular menu that is designed to accommodate omnivores and vegetarians as well as our community members who eat a gluten-free diet.  If you have additional food-accommodation needs please reach out as soon as possible to discus your allergies and restrictions with the chef to see if the team will be able to accommodate your needs or make other food arrangements with you. 

We will be serving sparkling wine and sparkling juice at the eclipse toast, guest are permitted to bring their own alcohol but we ask that you do not drink it out of it's original container.

Arrival Day, Saturday, April 6th

This day is all about arriving safely and getting to know each other and the event space in person. We'll have a chance to check into our rooms, get our belongings settled and then gather together for snacks and drinks around 5pm and a full dinner being served at 7pm.

Sunday, April 7th

Sunday is all about preparation for the astronomical event we're gathering to witness, and taking time to make a plan to make the most out of it. 

The Morning:
- Coffee, breakfast and workshop times

Lunch will be served around a facilitated discussion about eclipse workings

The Afternoon:
 During this time we will take time to plan our spaces for Monday. We'll take some time to set up our group and individual altars and then gather again for a workshop.

The Evening:
We'll gather for happy hour, dinner and a group ritual. After ritual we'll have an opportunity for fellowship with a semi-structured coffee house.  

Eclipse Day! 
Monday, April 8th

Monday is all about the Moon and it's total eclipse of the sun. 

The Morning- we'll gather for breakfast a few more workshops before lunch. 

At Lunch time we'll eat while we watch the live NASA stream of the event getting excited for our own experience. 

ECLIPSE TIME: 

We will witness the start of the eclipse together during a group ritual in our shared space.  The transit will begin at 1:02pm and take 2.5 hours. The minutes of totality occur at 2:17pm.  As the transit comes to an end we will gather in group ritual again to witness and then share libation. 

The Eclipse Moon Gala will begin at 7pm and will include, food, music, fellowship, and dancing in the atrium. We encourage everyone to wear something fantastic to celebrate.

Departure Day, 
Tuesday, April 9th

Tuesday is all about saying goodbye for now to each other and our lovely space. (and minimizing the lost and found pile)

Breakfast will be slightly earlier to accommodate travel schedules with service starting at 7:30am. 

We'll do a Closing Ritual at 9am. 

Check Out is at 11am. 


But Remember- The end is not the end. We'll gather again in zoom-land during our post-event webinars! 

Stone Circle Council takes your health and wellness seriously, our commitment to keeping our events as low-risk as possible extends to this event. Due to the size and scope of the event and venue attendees will be permitted in indoor spaces without masks.  The venue is one building which houses all of the sleeping, eating and gathering spaces under one roof.  We encourage individuals to mask indoors if they so choose.  

Covid19 and other illnesses: 

Since we will be sharing indoor space all weekend we ask the following of each attendee:

1) Take an at-home rapid Covid19 test prior to starting your travel, do not travel if your test is positive.

2) Stay home if you are feeling ill, even if you test negative. 

3) Wash your hand prior to eating with the community, and as often as possible during the event. 

Food Safety

Our kitchen volunteers are versed in serve-safe food practices. We employ all attendees to reach out to the kitchen team about any and all food-related allergies and restrictions at least 45 days prior to the event.  All food will be prepared in a shared kitchen so cross-contamination is possible and we will need to know in advance if there are ingredients that must be kept out of the kitchen. 

Refrigeration will not be available for public use. Please plan accordingly.

Service Animals:

We require that all service animals be pre-registered so that we can coordinate with the venue.  Service animals that do not pre-register will not be admitted. To register your service animal please e-mail Admin@StoneCircleCouncil.org with subject line "Eclipse Magic Weekend- Service Animal". Include your name and contact information as well as the name and type of animal. 

Pets:

Pets are not allowed at the event. Please make arrangements and leave your pets at home. 

Our venue, the Woodland Lodge, is on many acres of beautiful land.  We have rented the entire space which includes access to a pond, a fire pit, an unheated barn, and both the east and west wings of the property.   The lodge has 18 bedrooms and has beds (including linens) for up to 46 guests.  To enable as many people to join us as possible the planning team will be assigning rooms.  Rooms range in size and structure with the largest rooms accommodating 4 individuals. We will be sending out a survey asking about your food and lodging preferences after standard registration closes on February 2nd.  The survey will ask about companions you’d like to be roomed with and other accommodation needs so please take some time between now and then to consider who your favorite roommates would be. 

Selling out this venue for this event is possible, when that happens the team will meet to discuss adding non-lodging registration options for individuals who are able to find their own lodging nearby. (If the event is currently showing as sold out, please add your name to the waitlist and we will be in touch to let you know what options are available.)  Prior to sell out the full weekend registration is the only type available. Due to the structure of the event, there is not an available youth discount, however, children under 2 do not need a ticket. 


Pricing:

Registration includes indoor sleeping space, pre and post event activities, meals, snacks, and basic beverages throughout the weekend. Meals start with Saturday dinner and continue through Tuesday breakfast.

Specific rooms are not guaranteed, an accommodations survey will go out in February and rooms will be assigned by the planning team.  

Stone Circle council members will receive a $15 discount at registration. 

Regular registration will be available now through March 5th.
Regular price for the full weekend is $390*.

Volunteering:

 We ask that everyone attending the event choose and fulfil just two volunteer shifts during the event.   You can sign up to volunteer here. Volunteering slots are generally short shifts that help to make the event better for everyone, like making coffee, decorating, cleaning shared spaces, doing dishes etc.  If you have questions about volunteer sign ups please reach out. (Shifts are first-come first serve, no volunteers will miss ritual or totality)


Sunshine Funds:

Stone Circle Council strives to make all our events accessible to the largest number of people possible.   To accomplish this we have employed a program we call sunshine funds.  Individuals are able to contribute money to the Sunshine Fund which is then dispersed to folks who have requested a reduction in their registration fee to accommodate economic needs. 

During registration you will given the option to contribute sunshine funds, we encourage everyone to make the contribution that they are able. Even a small amount goes a long way to help make our events economically diverse. 

If you are in need of sunshine funds to make this event possible for you, please send an e-mail to Admin@StoneCircleCouncil.org. Due to the scope, size and the venue pricing structure of the event we will only be able to offer partial scholarships. Please get in touch as soon as possible to discuss your options. 

Information Needed To Register: 

You will be asked for the full name, e-mail, and address for each registrant. 

You will also be asked to designate your dietary preference, this is to help the kitchen count and is not a substitute for reaching out about specific allergies. 

Payment Options:

You are encourage to pay in-full online with a major credit or debit card at the time of registration.  You are also welcome to select the option to "invoice-me" and then mail a check, or make a payment at a later date.  All registrations *must* be paid in full by January 29th. Unpaid and partially registrations are subject to cancellation.   Additional payment options through PayPal, Venmo etc. are not available. If you have any difficulty or questions please do not hesitate to reach out to us.
